Privacy Policy

This policy explains how SpotRoster collects, uses, discloses, and protects information.

Effective date: July 14, 2026

1. Scope

This Privacy Policy applies to SpotRoster.com, SpotRoster accounts, SpotRoster subscription services, SpotRoster-powered business pages, and communications with SpotRoster. Independent businesses using SpotRoster may have their own privacy practices and notices.

2. Information We Collect

We may collect information you provide, including your name, business name, email address, telephone number, billing contact information, account credentials, plan selection, reservation details, customer records, support messages, form submissions, and other content entered into the platform.

We may automatically collect technical and usage information, including IP address, browser, device type, operating system, timestamps, referring pages, pages viewed, session data, security events, logs, and cookie identifiers.

3. Payment Information

Payment card and bank information may be collected and processed directly by third-party payment providers, including ZenPayments and Authorize.Net. SpotRoster generally receives transaction identifiers, payment status, limited account details, and billing records rather than complete card numbers or bank credentials.

4. How We Use Information

We use information to provide and administer the platform; establish and secure accounts; process subscriptions; manage reservations and rosters; send transactional notices; provide support; prevent fraud and abuse; troubleshoot and improve services; maintain records; enforce agreements; and comply with legal obligations.

5. Information Shared With Subscribing Businesses

When an end user interacts with a SpotRoster-powered business page, relevant information may be made available to that business so it can manage reservations, communicate with participants, confirm eligibility, provide customer service, fulfill obligations, and maintain business records. That business is independently responsible for its use of the information.

6. Service Providers

We may disclose information to service providers that support hosting, infrastructure, databases, cybersecurity, analytics, communications, email delivery, customer support, and payment processing. These may include Brevo for email delivery and ZenPayments or Authorize.Net for payment-related services. Providers may process information only as necessary to perform services for SpotRoster and subject to their applicable agreements and policies.

7. Legal and Safety Disclosures

We may disclose information when reasonably necessary to comply with law, legal process, court orders, regulatory requirements, payment-network rules, or lawful government requests; to enforce agreements; to prevent fraud or security threats; or to protect SpotRoster, users, businesses, and others.

8. Business Transfers

Information may be disclosed as part of a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to appropriate safeguards.

9. Cookies and Similar Technologies

SpotRoster may use essential cookies and similar technologies for authentication, sessions, preferences, security, fraud prevention, performance, and analytics. Browser settings may allow you to control cookies, but disabling essential cookies may prevent some features from working.

10. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain business and financial records, comply with legal obligations, resolve disputes, support audits, prevent abuse, and enforce agreements. Retention periods vary based on the type and purpose of the information.

11. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security. Users are responsible for strong passwords, secure devices, and prompt reporting of suspected unauthorized access.

12. Your Choices and Requests

You may request access to, correction of, or deletion of certain personal information by contacting SpotRoster. Some records may be retained where required for billing, security, audit, legal, fraud-prevention, dispute-resolution, or legitimate business purposes. Subscribing businesses should direct requests concerning their own customer records to SpotRoster through the Contact page.

13. Email Communications

Transactional and service messages are necessary for account, reservation, security, billing, and support functions. Promotional emails, when sent, will include an available unsubscribe method as required by applicable law.

14. Children's Privacy

SpotRoster is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. Businesses using SpotRoster are responsible for applying any additional age restrictions required for their products, events, or services.

15. United States Operations

SpotRoster operates in the United States. Information may be processed and stored in the United States, where privacy laws may differ from those in another jurisdiction.

16. Changes to This Policy

We may revise this Privacy Policy. The updated version will be posted with a new effective date. Material changes may also be communicated through the platform or by email when appropriate.

17. Contact

Privacy questions or requests may be submitted through the SpotRoster Contact page or by email to support@spotroster.com.
